When a platform review returns and indicates ‘incomplete documents’, it is recommended to check the following dimensions one by one to avoid missing key documents.
1. Business Qualification Document Check
Check basic qualifications such as business license, tax registration (if required), FDA FEI number (for food, cosmetics, medical devices in the US market, etc.), CE/UKCA manufacturer declaration. Ensure documents are within validity period and the company name matches platform registration information. Different platforms may require different formats of qualification documents; it is recommended to refer to the latest platform requirements.
2. Product Technical Information Check
Technical documents such as product specifications, circuit diagrams (for electronics), ingredient lists (for chemical products), bill of materials (BOM), and instructions should be complete and consistent with the actual product. If CE marking is involved, a Declaration of Conformity (DoC) and list of applicable standards are required. If FCC is involved, FCC authorization records or SDoC documents (depending on equipment type) are needed. Note: model numbers and parameters in technical documents must match those on product labels and test reports.
3. Label, Instructions and Packaging Photo Check
Does the label include product name, model, manufacturer information, country of origin, warning statements (if applicable), CE/FCC/UKCA marks? Are instructions and packaging photos consistent with the actual product? Are language requirements of the target market (e.g., English for US, local languages for Europe) met? Are images clear enough? Platforms usually require clear photos of actual product labels and packaging.
4. Existing Test Reports and Compliance Documents Check
Check whether the scope of existing test reports (e.g., RoHS, REACH, UN38.3, CPC document, FDA test reports, etc.) covers the product. Verify report number, report date, test standard, and test laboratory name. If the report is for an old model or different configuration, it may not be accepted. Platforms may require reports to be in English or issued by a qualified laboratory. For CPC document (Children’s Product Certificate), ensure corresponding test reports support it.
5. Common Missing Documents and Platform Rejection Reasons
Common missing items include: missing Declaration of Conformity (DoC), incomplete FCC authorization records, incomplete label information, report model does not match product, report expired (if platform has validity requirements), missing translations of technical documents such as TCF. When a platform review rejects, it usually provides a reason code; it is recommended to read carefully and supplement accordingly.

Pitfall 2: A report number can be universally verified. A report number is only used to locate the report file. Some platforms or regulatory bodies may verify the authenticity of a report using the report number and the laboratory’s public inquiry portal, but not all report numbers can be directly used for verification; it depends on the specific report type and issuing body.
Pitfall 3: As long as the report is not expired, it can be used forever. Whether a report is accepted by a platform depends on regulatory requirements, product changes, and platform rules; it cannot be judged solely by the report validity period.
